Rewards Codes

Overview

The Rewards feature compliments the Incentives feature. Panelists need to have a points balance in order to be able to redeem their points by themselves for rewards that you set up. It can be a digital reward, or a physical reward.

In this workflow you will learn how to set up rewards with (discount) codes. We also have a sneak peek for you on how panelists can redeem their points.

The full rewards feature with codes is readily available on your subscription. All you have to do is contact Compusense Support team and indicate for which analyst(s), and for which panelist website you wish them to enable the feature. We also need to know the email address or addresses that should receive notifications when panelists redeem points.

If you do not use discount codes for your rewards system, please contact Compusense Support to learn more about the rewards without codes.


Access The Rewards Library

  1. From the black ribbon at the top, select Libraries > Rewards.

    If you do not see this option, that means that you have not been given access to it. Please contact Compusense Support for details on how to gain access to this feature.

  2. Use the menu bar to manage rewards (more details on each option are available further down on this page).

  3. Sort the table by clicking on any column with arrows on it. By default, rewards are sorted by their sequential IDs.


Add A Reward

Rewards can be added one at a time. They cannot be imported because each reward should have their own set of codes. The codes, however, can be imported (instructions in the next tab).
  1. Click Add reward.


  2. Specify the reward name. This will be visible to you and other analysts in your subscription who have access to the Rewards feature.

  3. Set the points value for the reward. Panelists that do not have enough points for this reward will see the reward (to motivate them to participate more :), but will not be able to redeem their points for it until they earn at least that many points in total.

  4. New rewards are by default active. In other words, they are visible to panelists. If, however, you want to continue working on your reward setup at a later time, you can set it to inactive and edit it later as necessary.

  5. Specify which website(s) the reward can be redeemed on.
    If you would like to purchase additional websites, contact Compusense Support Team for details.

  6. Click Next.

  7. You will be presented with all the languages available on the websites you selected in the step 5. The reward name you specified in the step 2 is automatically populated for each language available on your panelist website. This is the name that panelists will see. Update reward names with their corresponding translations as necessary.


  8. Click Add to save the new reward. It will be added to the bottom of the table displaying the main details about it.



Edit A Reward

  1. Select a reward you wish to edit and click Edit reward.

  2. On the Edit screen, update the following information as necessary:
    1. Name.
    2. Point value.
    3. Active.
    4. Website.

  3. Click Next.

  4. Update the reward names visible to panelists as necessary.

  5. Click Save to save the changes and return to the Rewards library.


Deactivate And Reactivate A Reward

You might have a scenario where you want to remove a reward from the panelist view only temporarily. For example, the promotion you have should be available for a week every other month. All you have to do is deactivate such reward and reactivate when needed, rather than deleting and recreating it again later.
  1. In the Rewards library, select a reward you wish to deactivate and click Edit reward.

  2. Toggle the Active option to No.


  3. Click Next > Save.


  4. To reactivate a reward:
    1. Select a reward you wish to reactivate and click Edit reward.

    2. Toggle the Active option to Yes.

    3. Click Next > Save.


Delete A Reward

When you no longer need a reward, you may delete it by following these steps:
  1. In the Rewards library, select a reward you wish to delete and click Delete reward.

  2. When prompted to confirm your action, click Delete.


Import Codes To A Reward

Discount codes can be added manually (see the next section below) or imported to assign to a reward. Let's find out how to import codes.

Idea
Example use case #1: You have a list of discount/coupon codes for your products for online and/or in-store purchases.

Idea
Example use case #2: You purchased electronic gift cards from a third party provider and they supplied you with unique URLs (links) to each gift card.


Prepare The Import File
The import file needs to be in a .csv format, or a .dat format (recommended for files containing "special" characters), and it needs to have all codes in one column without blank rows between codes.

Example codes in a .csv format:



Alert
It is important that the codes start in the cell A1 and only remain in the column A. If any information exists in a different column, it will be ignored.
In the below example image, the information in column D will be ignored during the import but the column A will import with the blank rows in the middle. This is also not ideal, so always review imported codes to make sure everything looks as expected.


Warning
Duplicate codes are allowed to be imported to meet some scenario needs, so if this is not ideal for your scenario, please use Excel functionality to identify and remove duplicates.

  1. Create your codes list in Excel and save it as .csv file,

    --or

    Save it as a .dat file.

  2. Close the file.


Import Codes
  1. Back in the Rewards library, select a reward you wish to import codes for and click Codes.

  2. Click Import, browse to the file you prepared in previous steps, and double-click the file to import it. A message at the bottom of the screen will inform you whether the import was successful.


  3. Review the codes before saving to ensure that everything is looking the way you expect it to be. If your import file was not properly formatted, you might have blank rows or other code issues that would affect your panelists' experience, and ultimately result in additional expenses to you.

    For example, if the data in the import file was fragmented, then the imported codes might look something like this:


    In this case, you would need to select the blank codes and delete them.

  4. When happy with the codes, click Save.

Notes
Redeemed codes are removed from the list and cannot be revoked, but you can always import the codes back in if necessary.


Info
All activity in the Rewards library is logged for auditing purposes on the Compusense servers.


Add Codes Manually

When you need to add one or a few codes, it might make sense to do that manually, one at a time rather than preparing a file for import.

Idea
Example use case: You might have already imported a batch of codes, but one was missed, or a new one needs to be added that was not available in the original import.

  1. In the Rewards library, select a reward you wish to add codes to and click Codes.

  2. From the menu at the top, click Add as many times as necessary to add the codes you wish to add. New blank codes will be added at the bottom of the list of codes.

  3. Enter or paste the new codes into each blank code box.

  4. Click Save to save the changes.


Delete Codes

If there is a code that was accidentally added, or simply is no longer needed, you can delete it.
  1. In the Rewards library, select a reward you wish to delete codes from and click Codes.

  2. Place a checkmark in front of the code or codes you wish to delete and, from the menu at the top, click Delete.

  3. Click Save to save the changes.


Are There Any Email Notifications About Point Redemption?

Yes! Email notifications about redeemed points and claimed rewards will be sent to:
  1. Analysts who were set up by Compusense Support Team (as per your subscription holder's request) to get email notifications. Analyst email notifications cannot be modified by you.

  2. Panelists who redeemed points. Panelist email notifications can be modified by you. This can be done for individual websites or a default email body can be set up for websites that do not have custom email body set up.


Details Of The Analyst Reward Redemption Notifications

When a panelist redeems their points for a reward, you as an analyst can get an automated email notification about it with all the necessary details included in the email.

Here is an example email notification for analysts:


In the above image we can see the following:
  1. From. The email address where the email notification came from. Please note that this is an automated Compusense service that is not monitored for any replies that might be sent to it.

  2. Sent. The exact date and time in the time zone of the analyst receiving the email when the email was sent. This date and time correspond to the transaction time when the panelist redeemed their points.

  3. To. This would always only show your email address even if other analysts were included on the email notification.

  4. Subject. This is pre-set by Compusense and cannot be changed by users.

  5. The email body. Displays the following information:
    1. Panelist ID. This is panelist's Unique panelist ID that was automatically generated when the panelist's record was first created in your Panelists library. It consists of all numbers (sequential nature) to prevent privacy concerns. This field is not the same as the Username, or panelist code. Therefore, when using this ID to search for the panelist in your Panelists library, be sure to search for them using the Unique panelist ID field.


    2. Reward ID. The sequential number generated for each reward when they were created in the Rewards library.

    3. Reward Name. The name you set up for analyst view.

    4. Reward Code. If the code feature was used, the code redeemed will be included here.

NotesContact Compusense Support to set your and/or other recipients' email addresses to receive these notifications (must be approved by your subscription holder). The email addresses have to belong to your company domain, but the persons being added do not have to be Compusense users.

Email addition for these notifications is something that only Compusense can manage at this time.


Details Of The Panelist Reward Redemption Notifications

When a panelist redeems their points for a reward, they will get an automated email notification about it with all the necessary details included in the email.

Here is an example email notification received by a panelist:


The email header (From, Sent, To, and Subject) cannot be modified. These parameters are set by Compusense and cannot be changed.

However, you have the ability to update the body of the email going out to panelists. Follow the steps in the next section below.


Modify Panelist Points Redemption Notifications Email For A Specific Website

The Rewards feature gets distributed with a default email body for all websites and languages for the email notifications going out to panelists when they redeem their points for rewards.

You can do the following:
  1. Keep the default email as is. No action needed.
    --or

  2. Customize the default email so it applies your changes to all websites and languages that do not have custom email set up. Instructions in the next section below.
    --or

  3. Customize the email body for a specific website and language.

Follow the steps below to customize the email body for a specific website and language for the email notifications going out to panelists when they redeem their points for rewards:
  1. In the Rewards library, from the menu above the list of rewards, click Edit panelist email.


  2. From the list of websites select the website you wish to update the email for. You can select one website only.

  3. From the list of languages select the language you wish to update the email for. You can select one language only.

  4. Click Next and update the email body as necessary. Use the Wildcards, Snippets, and text formatting tools as needed.

  5. Click Save to save the changes and return to the Rewards library page.
The changes made will reflect only for the website and language you selected during the process. If you wish to modify the email for another language on the same website, follow the same steps, select the same website, but this time select the language you wish to update next.


Modify The Default Panelist Points Redemption Notifications Email Body

If using the default email notification meets your needs for all websites and languages, but requires an adjustment to fully meet your wording requirements, follow the steps below to make the necessary updates:
  1. In the Rewards library, from the menu above the list of rewards, click Edit panelist email.


  2. From the list of websites select Default text (applies to all websites on this subscription).

  3. Because you will be updating the default text, languages cannot be selected. Click Next.

  4.  Update the email body as necessary. Use the Wildcards, Snippets, and text formatting tools as needed.

  5. Click Save to save the changes and return to the Rewards library page.
The changes made will reflect for all the websites and languages that currently do not have a custom email body set up.

If you wish to modify the email body for a specific website and language, follow the steps in the section above.


Updating Text In The Panelist View

The text visible to panelists in their view of the Rewards feature, by default is distributed with the software, but it can be modified.

Customize the text in the panelist view by following the steps below:
  1. From the black ribbon at the top, select Libraries > Languages.


  2. Click Translations and select the language that your panelist website defaults to. If not sure what language your panelist website defaults to, please contact Compusense Support Team for assistance.

  3. In the Search translations box, type "Rewards" (without quotes) to bring up all the items related to the Rewards feature.


  4. Locate the item you wish to update and in the far right box, the one in the Translation column, make the necessary updates. To save the changes, click outside of the box you just updated.

    The changes will reflect on the panelist website right away, although panelists may need to refresh the page to see the changes if they were already on the page before you applied the changes.
