Search for Products Across Product Groups
Overview
There might be various reasons to need to search for one or more products. In this workflow we will learn how to find products by searching across some or all product groups in the
Products library that your organization created.
You may search by one or multiple fields, by one or multiple product groups, or combination of fields and product groups. See the corresponding steps below. The
Find products tab enables you to
manually edit one product record at a time.
The searches described in this workflow will not include Unassigned product group.
For product reporting, go to the Reports tab instead.
From the black ribbon at the top, select Libraries > Products.
Click Find products tab.
If this is your first time accessing this tab, in the Search criteria , the following parameters are selected by default:
Field , Product name and contains .
If you have previously accessed the tab and performed product searches, you will be presented with the parameters you last used.
Keep the Field selected. Choose the field from the list you wish to search by and specify the criteria for your search, such as contains.
In the box or boxes next to the contains , type in the text or numbers (depending on the type of field) you are searching for.
Click Apply . Search results will display .
If you see your products in the list, click their Product code to open the Product card .
If you do not see your products in the list, adjust how many products are shown per page, or use the page navigation buttons at the bottom of the list, or refine your search to locate the desired products.
- Perform the actions you intended when searching for the product(s). Repeat the steps for additional products, if necessary.
You can always further refine your search by adding more criteria (click +Add product criteria ).
Find Products by Product Group They Belong To
If you need to find a product or products, but you are not quite sure which product group they belong to, you can search for them across all or some product groups. Products that belong to multiple product groups will be listed once in the search results, so even if you need to make any changes to the product(s), the changes will reflect in all product groups they belong to.
From the black ribbon at the top, select Libraries > Products.
Click Find products tab.
If this is your first time accessing this tab, in the Search criteria , the following parameters are selected by default:
Field , Product name and contains.
If you have previously accessed the tab and performed product searches, you will be presented with the parameters you last used.
In the Search criteria , from the first dropdown list, select Product group.
In the next dropdown list, select any of.
Click in the last box to display a list of all your product groups. Select the product groups you wish to include in your search.
Click Apply . Search results will display.
- Select the products and do with them what you intended.
Example scenario: You have a product group named Archived Products.
You would like to get a count of products in this product group that
were created in the 1998. Although you could go directly into the Archived Products product group and sort products by the Date created column, it is more efficient to run a search in the Find products tab.

Click Find products tab.

you will be presented with the parameters you last used.
In the Search criteria , from the first dropdown list, select Product group.
In the next dropdown list, select any of .
Click in the box next to the any of to display a list of all your product groups. Select the product group(s) you wish to include in the search. For our example scenario we will select Archived Products product group.
Click +Add product criteria and click Select criteria.
In the next dropdown list, select Date created .
In the next dropdown list, select is between operator.
In
the calendar boxes, click the first calendar icon and select January 1,
1998. Click the second calendar icon and select December 31, 1998. This
will include products created on January 1st and on December 31st.
Click Apply . Search results will display products from your Archived Products product group with the date created reflecting the search criteria you specified. Use the Column picker to display/hide columns to assist you in verifying information.
- Count
the products that met your criteria, or if dealing with a large number
of products, take advantage of the page display and navigation buttons
at the bottom of the screen.
You can always further refine your search by adding more criteria (click +Add product criteria ).
Find Products by Product Group They Don't Belong To
If you need to find products that are not a part of a specific product group or groups, in your search criteria you can specify product groups that the software should consider. For example, you want to update a few product names to incorporate a new naming convention as long as those products are not in the product group called "Archived Products".
To ensure that the products who are members of the Archived Products product group do not get updated, search for the products across your entire Products library and exclude from the search those products that are members of a specific product group; in our example, Archived Products product group. Products that are a member of the Archived Products product group will not be included in the search results even if the products also belong to other product groups.
From the black ribbon at the top, select Libraries > Products.
Click Find products tab.
If this is your first time accessing this tab, in the Search criteria , the following parameters are selected by default:
Field , Product name and contains .
If you have previously accessed the tab and performed product searches, you will be presented with the parameters you last used.
In the Search criteria , from the first dropdown list, select Product group.
In the next dropdown list, select none of .
Click in the last box to display a list of all your product groups. Select the product group(s) you wish to exclude from the search. For our example scenario we will select Archived Products product group.
You may add another criteria at this point if necessary to narrow your search down.
Click Apply . Search results will display. Every product in your Products library will be listed in the search results, except for those who are members of the Archived Products product group.
- Select one product at a time and go through the manual update process, or go to the Products tab to update products from a file.
