Scheduling: Canceling or Rescheduling a Test

Overview

You’ve created a Schedule, panelists scheduled themselves, everything went well, but then you found out that the test must be cancelled or rescheduled (e.g. due to weather conditions). Such situation can be quite stressful.

This workflow outlines the steps to quickly and easily decline and reschedule multiple panelists at one time from a sitting Schedule, with or without a screener.

Cancelling a Test

Follow the steps for cancelling a test regardless whether you will reschedule your study or permanently cancel it.
  1. In the Schedule, go to the Overview tab.
    1. If not using quotas, click in the Recruiting target box and type 1.

    2. If using quotas click the Adjust button and in the Recruiting target box type 1.  Toggle the Maintain quota ratios to No and click Save . This step is necessary to
      maintain your quota limits in case you will reuse your Schedule to reschedule the study.

      Setting the recruiting target to 1 will prevent anyone else from scheduling while you are declining those that already scheduled.

  2. Click the Instructions tab. Update the Cancellation email text to reflect that the test has been postponed or cancelled.

  3. Click the Reports tab and generate the Panelist sittings report > By panelist code. This will report might be useful if rescheduling panelists that already qualified through the screener.


  4. Click the Panelists tab and in the very first checkbox on the left, place a checkmark to select all panelists (regardless whether they are scheduled or not).


  5. From the menu above the table, select Manage > Remove . A prompt will indicate how many panelists you are about to remove warning you that some may already be booked.


  6. Keep the Send cancellation email toggled to Yes and click Remove panelists . The cancellation email will be sent out to your panelists that were booked while those who were not booked will not receive any emails.

  7. Go to the Overview tab in your schedule and open your product test.


    1. If the product test is running, go to the Run test tab and click Pause test .

    2. Still in the product test, go to the Panelists tab and in the very first checkbox on the left, place a checkmark to select all panelists.

    3. Select Remove panelists > Remove panelists > Remove panelists .
      This is a necessary step because if panelists are left in the product test, they will stay in a state of “Declined” even in a new Schedule.

    4. In the Run test tab, update the End date and time as necessary. If applicable, in the Logistics > Partial Present tab, update the Start and End dates
      and times as necessary.

    5. Click Open schedule to return to the schedule.


  8. In the schedule:
    1. If you are not planning on rescheduling your product test or otherwise not reusing the same schedule, go to the Overview tab of the schedule, and next to the Product test click Unlink test.


      If desired, you may go to the Schedules home page and delete the schedule.

    2. If, however, you will be reusing the same Schedule to reschedule your panelists, please do not unlink the product test.


Rescheduling Panelists

You have successfully declined the panelists by following the steps above. Now what?!

If the test is cancelled without the intention to reschedule, you are done!

Otherwise, depending on the complexity of your schedule, to enable panelists to reschedule themselves, you can either:
  1. Create a new Schedule. If your schedule is fairly simple (e.g. without quotas or with simple quotas), we recommend creating a new schedule. Simply follow the usual steps for creating
    schedules and invite your panelists to pick a time.

  2. Update the existing schedule. If your schedule consists of complex quotas, it may be easier to add new sittings in the existing schedule as opposed to recreating all the quotas too. When
    updating the Schedule, please consider the following:
    1. Update the number of panelists that can qualify. In the Schedule Overview tab, update the Recruiting target  (if quotas are used, click Adjust to update the number, toggle the Maintain quota ratios to Yes, and click Save).

    2. Update the cancellation email. Ensure that the Cancellation email reflects the new schedule requirements.

    3. Add new sittings. Even if the old sittings are still there, when you click Sittings creation wizard, the old sittings will be deleted and new ones will be created.

    4. Add panelists. In not using a linked screener, go to the schedule Panelists tab, and add the panelists you wish to invite to the schedule. If you are using a linked screener test, invite the panelists though the screener test.

If the original Schedule was a Schedule with a Screener, you really don't want to make panelists go through the same screener again. You already know who qualified, and if you followed the step 3 in the Cancelling a Test section of this workflow, you have the Panelist sittings report ready. Follow the workflow below that matches your scenario.

Rescheduling Only Already Qualified Panelists:
This is a scenario where no further panelist recruitment (screening) is necessary. Assuming that you followed the step 3 in the Cancelling a Test section of this workflow, you already have the panelists you need from the cancelled test.
  1. From the Panelist sittings report that you generated before declining booked panelists, copy the data found under the Panelist_code heading.

  2. Go to your Schedule, click the Panelists tab, select Add panelists > Find panelists to add.

  3. In the Find panelist to add screen, select the Username field, select "=" (equal) criteria, paste the codes you copied in the step 1 and click Apply to search for all the panelists who already qualified.


  4. Review the list to ensure that it is correct and when happy with it, in the very first checkbox on the left, place a checkmark to select all panelists (deselect any that should not be included) and click Add selected.

  5. In the Panelists tab:
    1. In the very first checkbox on the left, place a checkmark to select all panelists.

    2. Select Email > Send email.

    3. Specify the subject line, and mark recipients as Invited. Compose your email and insert the Schedule Invitation Link wildcard in the body of the email where you wish it to appear. If you do not insert this wildcard, the link will still be included in the email as long as you marked the panelists as invited. The link without using the wildcard will always be appended at the bottom of your email.


      Preview the emails to confirm that everything looks as expected.

      When happy with the email, click Send now. You can schedule it for later if you wish by clicking Schedule and setting the date and time when you wish the email to go out to panelists.

If you wish to invite additional panelists without using a screener, add the panelists directly to the Schedule > Panelists tab and invite them from there.



Rescheduling Already Scheduled Panelists and Screening More Panelists:
This is a scenario where you want to invite panelists who you just declined to schedule for new times, and you want to recruit (screen) additional panelists for the same study.

First invite the panelists that already qualified by following the "Rescheduling Only Already Qualified Panelists" steps above. When done with that, return here and go to the next step to enable additional panelists to go through your screener and those that qualify, schedule themselves.

  1. Link your Schedule to the screener as you normally do. Open the screener test.


  2. Click the Panelists tab, and in the very first checkbox on the left, place a checkmark to select all panelists regardless whether they already took the screener or not (don't worry, the software will take care of it all :).

  3. Select Email > Send email.

  4. Place a checkmark in the Email only panelists who have not started the test checkbox to avoid inviting those panelists that already went through the entire screener.


  5. Specify the subject line, and mark recipients as Invited. Compose your email and insert the URL wildcard in the body of the email where you wish it to appear. If you do not insert this wildcard, the panelists will not be able to take the survey.

  6. Preview the emails to confirm that everything looks as expected. When happy with the email, click Send now. You can schedule it for later if you wish by clicking Schedule and setting the date and time when you wish the email to go out to panelists.
