Scheduling Analyst Notifications

Overview

Analyst notifications let you know about changes to a schedule without having to check it yourself. When a notification is turned on, Compusense automatically emails the addresses you choose when panelists book, cancel or reschedule, or when the schedule is full.

This article explains what each notification does and how to turn notifications on for a schedule.

ℹ Info: Analyst notifications are available on Sittings schedules and Appointments. They cannot be set up on HUT schedules.

Notification Types

Each notification is switched on separately and has its own list of recipients, so you can send different notifications to different people.


Once Schedule Is 100% Filled



Sends one email when every sitting in the schedule is booked. Use it to find out when recruitment for the schedule is complete.


When Panelist Cancels an Appointment

This notification sends an email each time a panelist cancels their booking on the schedule. Use it to spot open places quickly, so you can invite other panelists to fill them before the sitting.








When Panelist Reschedules an Appointment

This notification sends an email each time a panelist moves their booking to a different sitting on the schedule. The email includes the panelist code. Use it to keep your own records up to date, for example a shared room or lab calendar, without having to check the schedule for changes.

  • It is sent when the panelist reschedules themselves on the panelist website.
  • Only a reschedule sends this notification. It does not send a booking or cancellation email.












When Panelist Books a Sitting

This notification sends an email each time a panelist books a sitting on the schedule, so you can follow how the schedule is filling in real time instead of waiting until it is full.

  • It is sent whether the panelist books themselves on the panelist website or an analyst books them into a sitting.
  • A matching thread is also added to the Message Center, so you have a record of every booking in the software as well as in your inbox.
  • It is not sent when a panelist moves an existing booking. That change is covered by the reschedule notification.

✎ Note: On a busy schedule this notification sends one email for every booking. If several people need to know, consider sending it to a shared mailbox.



Turn On Notifications for a Schedule

Notification settings are saved separately for each schedule, so you can choose different notifications and recipients for each one.

  1. Open the Sittings schedule or an Appointment schedule and go to its Overview tab.
  2. At the bottom of the page, next to the Analyst notifications, click View/Edit.


  3. Switch on each notification you want to receive.
  4. In the email field beside each notification, enter the addresses that should receive it. To add more than one address, separate them with a semicolon, for example name1@example.com;name2@example.com.


  5. Save your changes.

If an email address is not valid, the settings won't save. Correct the address and save again. To stop a notification, switch it off and save.

Default Settings for New Schedules

New schedules start with your Analyst group's default notification settings. Unless your defaults have been changed, every notification starts switched off. You can change the settings on any individual schedule at any time using the steps above.

A cloned schedule copies the notification settings of the schedule it was cloned from, not the defaults.

If you would like certain notifications, or certain recipients, to be set automatically on every new schedule, contact Compusense Support and we will update your defaults for you. Changed defaults apply only to schedules created afterwards. Existing schedules keep their own settings.


ℹ Info: Changes to your default notification settings must be approved by your subscription holder. If you are not the subscription holder, ask them to contact Compusense Support.
