Schedules

Overview

When you’re preparing for a product test, often a lot of time and manpower can be used to plan, schedule, re-schedule and organize your panelists. The Scheduling feature in Compusense will save you time and resources, while simultaneously engaging panelists. Based on their availability and qualification, panelists will be able to easily schedule or re-schedule themselves for a product test.

This feature is also ideal for screening panelists for Home Use Tests and for scheduling pre-qualified panelists from your panelist database for your next product test.

To access the Schedules module, in the black ribbon at the top, click Schedules .


The Scheduling module is an optional add-on module. If it is currently not available when you click Schedules in your Compusense menu ribbon across the top, please contact Compusense Support Team for information on pricing and how to obtain the module.


Types of Schedules

There are several types of schedules to choose from, each with their own purpose and functionality. On this page we will provide general overview of different schedule types. Detailed instructions or videos about specific functionality will be linked where appropriate and when available.

The available schedule types are:
  1. Sittings schedule
  2. Appointment
  3. Home-use-test schedule
  4. Multi-test schedule


Sittings Schedule

Use the Sittings schedule to recruit your panelists to schedule themselves into pre-defined sittings.

Sittings are a scheduled date and time in which a panelist will attend a product test. You can create multiple sittings for your product test for multiple dates and times. Using Qualifying groups and Quotas, you can link up a screener test to your sittings. Qualified panelists will then choose a time that works best for them within your specified sitting times.

Useful when recruiting for consumer central location tests, sample pickup times or less frequent employee testing, or even assessor testing.


Appointment

Appointment is a schedule type that can be used to create a calendar item. Useful when recruiting panelists over the phone or when panelist visit times and durations are highly variable, or to schedule panelists to come in to pick up product for a Home Use Test (HUT). The appointment schedule type is especially useful for personal care appointments (for assessor testing ).


Home-use-test Schedule

This schedule type is used when recruiting panelists to confirm their attendance in a Home-use-tests. Since the panelists are not testing on-site, they will not need to schedule themselves into a sitting time. Home-use-test schedule can be set up with or without a screener and quotas. Useful for tests where there is no limit to how many panelists can respond to the product test questions at any given moment.
 

Multi-test Schedule

Multi-test schedules can be used to send out just one schedule invitation for multiple tests all in one go. Panelists can schedule themselves for multiple different tests or once per day. There are no pre-screening or quota options available with this schedule type. Useful for recruiting employees to participate in regular testing (perhaps daily) related to quality testing, or for assessor testing.


Schedules Home Page

When you access the Schedules module, you will land on the Schedules home page. If this is the first time you are arriving to the Schedules home page, you will see the calendar view of the page. The existing schedules can be viewed either as a list in a Table , similar to the Dashboard , or in a Calendar view.


Explore both options to determine what works better for your scheduling needs. The selection you make will be 'remembered' for the next time you return to the Schedules home page.


Table View

The table view of existing schedules provides easy access to any schedule you are interested in, and to quickly see how much schedules are filled. There are many functions you can perform from the table view, so let's explore them!


  1. Search and filter.
    1. Use the Search bar to search for existing schedules by their names. Type a word or phrase and press Enter on your keyboard or click the magnifying glass icon to search.

    2. Use the Filters options to search by any or all of the following criteria:
      1. Time frame . The time frame is calculated against the Testing end date . Choose from the following options:
        1. Current . Displays schedules that have no testing end date set (e.g. no sittings added yet) or has the testing end date in the future.

        2. 30 days . Displays schedules that have the testing end date anywhere from 30 days in the past from today's date to any date in the future.

        3. 6 months . This is the default selection. Displays schedules that have the testing end date anywhere from 6 months in the past from today's date to any date in the future.

        4. 1 year . Displays schedules that have the testing end date anywhere from 1 year in the past from today's date to any date in the future.

        5. Any . All existing schedules will be listed regardless of the testing start and end dates.

      2. Owner . Select from the list of active analyst users to search for the schedules that they created. By default schedules are not filtered by any specific owner/analyst.

      3. Schedule type . Search for schedules by their specific types. By default schedules are not filtered by any specific types. Choose from one of the following:
        1. Sittings schedule .

        2. Appointment .

        3. Home-use-test schedule .

        4. Multi-test schedule .

      4. Colour . Every schedule has a colour associated with it. Colours are assigned to different schedule types by default, and you can change the colour in each schedule you create as you wish. Colours can be used not only to distinguish different schedule types, but also to distinguish your schedules from your co-workers', for example. Narrow your schedule search by specifying the colour the schedule(s) you are looking for has.

    3. Reset . Click Reset to clear all the search and filter criteria.

  2. Use the menu items. Choose from the following menu items:
    1. New schedule . Click to create a new schedule from the list of schedule types.

    2. Edit . Enabled when a schedule is selected. Click to open the selected schedule.

    3. Clone . Enabled when a schedule is selected. Click to clone the selected schedule.

    4. Delete . Enabled when a schedule is selected. Click to delete the selected schedule. This action is irreversible.

    5. Locations . Every sitting in the Sittings schedule has to have a location associated with it. When your Schedules module was enabled for your subscription, a default location was pre-set for you. Click to view, modify, or delete existing locations, or add new locations for your scheduling needs.

    6. Export appointments . Click to export a list of appointments and panelists assigned to them in the range of up to 30 days (any 30 days you choose).


  3. Customize the table view. By default, schedules are listed by the Testing start date column, in the descending order.

    The following columns are displayed in the table view:
    1. Radio buttons. Click on a radio button to select entire row. You can click anywhere in a row to select its radio button. Only one schedule at a time can be selected. When a schedule is selected , additional menu items become available above the table.

    2. Schedule ID . Unique identifier.

    3. Schedule name . Visible to analysts only. Click on it to open the schedule.

    4. Testing start date .
      1. In a Sittings schedule and a Multi-test schedule, this date is the first day that there is a sitting.

      2. In a Home-use-test schedule, this date is set by the analyst in the Overview tab of the schedule. 

      3. In the Appointments, this date is set by the analyst when setting up the appointment.

    5. Testing end date .
      1. In a Sittings schedule and a Multi-test schedule, this date is the last day that there is a sitting.

      2. In a Home-use-test schedule, this date is set by the analyst in the Overview tab of the schedule. 

      3. In the Appointments, this date is calculated by adding the set duration to the Testing start date . By default the two dates are the same for Appointments, unless the analyst makes the duration run across multiple days.

    6. Colour . Every schedule has a colour associated with it. Colours are assigned to different schedule types by default, and you can change the colour in each schedule as you wish.

    7. % filled . The percentage of the lowest of the following:
      1. In the Sittings schedule :
        1. Number of sitting spots.
          --or
        2. Number of panelists in the schedule.
          -or
        3. Lowest limit in qualifying groups.
          --or
        4. Schedule Recruiting target found in the Overview tab.

      2. In the Appointments , the schedule  Recruiting target found in the Overview tab.

      3. In the Home-use-test schedule :
        1. Number of panelists in the schedule.
          --or
        2. Lowest limit in qualifying groups.
          --or
        3. Schedule Recruiting target found in the Overview tab.

      4. In the Multi-test schedule , the schedule  Recruiting target found in the Overview tab.
    1. Owner . The analyst who originally created the schedule. Schedule ownership cannot be transferred to another analyst.

      Use the Column picker to customize the view by removing any of the default columns, or adding any of the following columns: Screener , Product test , or Schedule type .

      Click on a column header to sort the list by that column in the ascending order (the % filled and Colour columns are not possible to sort by). Click the same column again to sort by it in the descending order.

      Grab a column, drag and drop it to a new location in the table.


      Please note that the changes in the table view will not be 'remembered' the next time you return to the Schedules home.

  4. Manage the number of schedules listed per page. At the bottom of the screen:
    1. On the left side, you can control how many schedules are listed in the table. Select from the following options: 10, 25, 50, 100, 250, or 500. The default is 250.

    2. On the right side, you can browse through the pages, if applicable.


Calendar View

The calendar view makes it easy to visually keep track of when schedules are happening, therefore preventing double-booking a schedule over another. This view is particularly useful for Appointment schedules.

Let's explore the options in this view!


  1. Set the date range. Choose from the date ranges outlined below. The date range selected will be 'remembered' the next time you return to the Schedules.
    1. Month. This is the default calendar view. All the days of the month are displayed showing if there are any schedules happening on any of the days, as seen in the above image. Schedule name, start and end dates and times, number of panelists, and colour are displayed in the day/date tile the schedule is set for. If a schedule is running across multiple days, it will be visually represented as seen in the below image.


      The schedule colours can play an important role in identifying the schedule(s) you are interested in.

      Click a schedule to view its summary, where you can choose to open it, or clone it, or delete it.


      In the top left corner of the calendar, click the left and right arrows to browse through months. Click Today to easily return to the current month.

    2. Week. The days and dates of the selected week are displayed in the top row while hours are listed in the first column. Schedule name, start and end dates and times, number of panelists, and colour are displayed in the hour range and under the day/date the schedule is set for. 


      If a schedule is running during an entire day or across multiple days, it will be displayed in the All-day row, as seen in the below image.


      Click a schedule to view its summary, where you can choose to open it, or clone it, or delete it.


      In the top left corner of the calendar, click the left and right arrows to browse through weeks. Click Today to easily return to the current week.

      In the top right corner of the calendar, use the jump function to quickly go to a week in the future you are interested in. Use the Today button to return to the current week.

    3. Day. This is a very detailed view of what is happening on a specific day. Schedule name, start and end dates and times, number of panelists, and colour are displayed in the hour range the schedule is set for. If a schedule is running during an entire day or across multiple days, it will be displayed in the All-day row.


      Click a schedule to view its summary, where you can choose to open it, or clone it, or delete it.

  3. Use the menu items. Choose from the following menu items:
    1. New schedule . Double-click in the calendar where you wish to create a new schedule and select from the list of schedule types. This is the most efficient way.

      Alternatively you can click New schedule button to create a schedule.

    2. Locations . Every sitting in the Sittings schedule has to have a location associated with it. When your Schedules module was enabled for your subscription, a default location was pre-set for you. Click to view, modify, or delete existing locations, or add new locations for your scheduling needs.

    3. Export appointments . Click to export a list of appointments and panelists assigned to them in the range of up to 30 days (any 30 days you choose).
