Panelist Application Form

Overview

If you wish to have a reference/link between data collected in a test and the panelists that inputted the data, the panelists must first be added to the Panelist Library and then to your test. If you wish to use the Schedules module to enable your panelists to schedule themselves for upcoming tests, the panelists also must first be added to the Panelist Library and then to a test or Schedule, depending on the workflow.

Panelists can be added manually or imported into the Panelists library, and you can follow the steps on how to do that in different workflows.

However, on this page we will focus on a different method where potential candidates apply by themselves to become panelists. With an application form you do not need to perform any imports or manual entries; it is all done automatically.

Your panelist application form can collect basic demographic information about a person who wants to become a panelist. Our recommendation is to collect static information, the information that does not change often. Once a panelist successfully fills out and submits the form, they are automatically added to your panelist database with all of the information they entered on the application form.

General Workflow

  1. Work closely with the Compusense Support Team to develop the application form to meet your recruiting needs.

  2. Advertise on your corporate website or otherwise distribute the application form URL to potential candidates.

  3. Candidates apply to become panelists. Candidates' experience consists of the following process:
    1. Candidates fill out the form.
    2. They receive an automated email requesting them to confirm their identity by clicking on a link.
    3. If they click the confirmation link within 48 hours, they become a candidate in your Panelists library.
      If they do not click the link within 48 hours, they are removed from the system and can apply again if they choose to.

  4. Review the candidates and based on your criteria decide who you want to accept or reject.

  5. Accept candidates as panelists and notify them about it (optional).

  6. Reject candidates as panelists and notify them about it (optional).

  7. Use your new panelists in tests and schedules.


The workflow below assumes that you already have the application form developed, the candidates have applied to be your panelists. Therefore, the steps below will guide you through reviewing the candidates, accepting them, and declining them as panelists.

Before You Begin

During the application form setup, a special panel was created by the Support Team where all new applicants (candidates) are stored. Let's call it "AppForm Panelists" panel in this workflow, but your actual panel will have a different name. It is important not to rename or otherwise change this panel in your Panelists library.

A part of the process of this workflow will be moving accepted panelists outside of the AppForm Panelists panel to keep this panel as 'clean' as possible. In order to move them out you will have to have somewhere to move them to. If you already have a panel, great, but if not, we recommend creating a panel or a subpanel  outside of the AppForm Panelists panel for this purpose. If you were to create a subpanel within the AppForm Panelists panel, it would not allow you to move accepted candidates out of the AppForm Panelists panel. Therefore, it is important to create the new panel outside of the AppForm Panelists panel.

To create a panel:
  1. In the Panelists library, click the "Add panel" button.


  2. Name the panel well and select the location for the panel.
    1. If you want it to be a top level panel, select the "Top level panel" option. 
    2. If you want it to be a subpanel, select the panel to which you wish it to be a subpanel to, but make sure not to select your AppForm Panelists panel.


Reviewing New Candidates

  1. Go to the Panelists library and click the AppForm Panelists panel.

  2. On the right, all the candidates that have not been accepted as panelists will be identified with a chckmark in the "Candidate" column.


  3. To decide whether you would accept or decline a candidate as a panelist you have to have a criteria. For example, let's say you do not want to accept anyone who is from a city or state that is too far from your lab, or you do not want to accept those who are lactose intolerant because your business deals with primarily with lactose. If the application form contained a field for City or State, or Allergens, you can easily sort the candidates by these fields and quickly identify who can be accepted or rejected.

    Entire columns can be moved around in the list of columns for easier review. Simply click the column header, drag it and drop it to a location of your choice.

    Use the "Column picker" to display or hide columns as needed, but ensure that the "Candidate" column is displayed.

Accepting New Candidates from the AppForm Panelists Panel

It is very important to review all the candidates and decide whether you wish to accept them into your panels or reject them.
  1. To accept new candidates as panelists, highlight all the candidates you wish to accept as panelists.

  2. From the menu above select "Move/remove > Accept as panelist".


  3. (Optional) To notify panelists via email that their application has been accepted, with all accepted candidates still highlighted, click "Email panelists".
    1. Use "Add Snippet", or compose a brand new email and save it as snippet for future use. Name it well.

    2. Add a subject line to the email, preview it, and then click "Send now", or "Schedule" to automatically send the email at a later date/time.

  4. With all accepted candidates still selected, move them to the panel of your choice by selecting "Move/remove > Move to another panel".

  5. All accepted candidates will now be removed from the AppForm Panelists panel and will be moved to the selected panel.

  6. You may now add your new panelists to your tests.

Accepting New Candidates from the Find Panelists Area

  1. In the "Panelists" library, click "Find panelists".

  2. In the Search criteria, select "Candidate > Is candidate". Click "Apply".

     
  3. Highlight all the candidates you wish to accept and from the menu above select "Move/remove > Accept as panelist".


  4. (Optional) To notify panelists via email that their application has been accepted, with all accepted candidates still highlighted, click "Email panelists".
    1. Use "Add Snippet", or compose a brand new email and save it as snippet for future use. Name it well.

    2. Add a subject line to the email, preview it, and then click "Send now", or "Schedule" to automatically send the email at a later date/time.

  5. With all accepted candidates still selected, move them to the panel of your choice by selecting "Move/remove > Move to another panel".

  6. All accepted candidates will now be removed from the AppForm Panelists panel and will be moved to the selected panel.

  7. You may now add your new panelists to your tests.


Declining New Candidates

The process to decline candidates has to be done one candidate at a time, regardless how you search for them.
  1. Locate the candidate you wish to decline.

  2. (Optional) To notify them via email that their application has been declined, select the candidate and click "Email panelists".
    1. Use "Add Snippet", or compose a brand new email and save it as snippet for future use. Name it well.

    2. Add a subject line to the email and then click "Send now", or "Schedule" to automatically send the email at a later date/time .

  3. Click on the candidate's "Username" to open their "Panelist card".

  4. From the "Status" list, select "Paused". From the "Until" list, select "Indefinitely".


    All disqualified candidates will automatically be removed from the AppForm Panelists panel and will be moved to the "Paused Panelists" panel. This state that they are in will not allow them to apply using the same email address and it will not bring them up in your searches when you need to add panelists to tests.

  5. Repeat the steps for any other candidates that you wish to decline.
